Track where your client is in relation to a set time frame
Given the client's timeframe range, e.g. 3-6 months, you can easily monitor progress. On an individual's page and within smart lists, you'll see how many days or months have passed since the timeframe was set— and whether the range is upcoming, in-range (with a green font), or overdue (with a red font). To view when the timeframe was set, hover your mouse over the Timeframe field.
Upcoming
The Timeframe will show 3-6 Months in black when it is coming up.
In-range
When the Timeframe is in range, it will show 0-3 Months in green.
Date last updated
Hover your mouse over the Timeframe to view the last time the field was updated.
Past due
The Timeframe will show X Months in red when it is past due.
Smart Lists and Timeframe
Timeframe-based Smart Lists are a great way to ensure you are following-up with contacts with the right minimum cadence based on the time frame to move. We recommend the following one of these two approaches to determine the minimum follow-up cadence:
Classic Static candace - based on the timeframe set:
- Weekly for ‘0-3 months’
- Bi-weekly for ‘3-6 months’
- Monthly for ‘6-12 months’
- Quarterly for ‘12+ months’
⭐️ Increasing cadence - based on days to be within the range. The benefit of the increasing approach is the cadence of follow-up increases as you get closer to the start of the timeframe, holding the agent accountable for their follow up cadence.
- Weekly for timeframe is in-range
- Bi-weekly for timeframe upcoming in the next 30 days
- Monthly for for timeframe upcoming in the next 90 days
- Quarterly for for timeframe upcoming in the next 180 days
Example
On January 1st, the client set their timeframe to move in about "6 - 12 months", representing a range from July to December. In this example, assume the agent reaches out on each of the required follow-up dates.
Classic Static cadence:
- It first appears on your C list on Feb 1st (150 days before July 1st), since there is no communication in the last 30 days.
- It then appears on the C list on Mar 1st (120 days before July 1st), since there is no communication in the last 30 days.
- It appears again on the C list on Apr 1st (90 days before July 1st), since there is no communication in the last 30 days.
- It continues to appear on the C list on May 1st (60 days before July 1st), since there is no communication in the last 30 days.
- It appears on the C list again on June 1st (30 days before July 1st), since there is no communication in the last 30 days.
- Finally, it appears on the A list on July 1st (is now), since there is no communication in the last 7 days.
⭐️ Increasing cadence:
- It first appears on your C list on March 1st (90 days before July 1st), since there is no communication in the last 30 days.
- It then appears on the B list on June 1st (30 days before July 1st), since there is no communication in the last 14 days.
- It appears again on the B list on June 15th (15 days before July 1st), since there is no communication in the last 14 days.
- Finally, it appears on the A list on July 1st (is now), since there is no communication in the last 7 days.
