Follow Up Boss and Zillow have partnered together to create a two-way sync for Zillow Teams so your team can work leads seamlessly in both systems. Updates made in Follow Up Boss like stage assignments, lead assignments, notes, communications, and deals will sync to Zillow keeping your leads up to date. Say goodbye to being behind on your Zillow updates and dual entry.
How it Works
When initiated, a two-way sync will be established for all Zillow leads that have had an inquiry in the last 6 months (this includes profile, MBP, and Flex). Note: This integration was designed for Zillow Flex Teams and must be connected by a Zillow Team Lead. Independent Zillow Premier Agent customers have access to this integration as well. Another good option for independent agents is the one-way sync, Zillow Tech Connect integration.
How to Set it Up
- To set up the integration, the Zillow Team Lead will log in to Zillow Premier Agent app and go to Settings > App Integrations
- Under Two Way Integrations, select Link App (see here for the One Way Integration option)

Choose Follow Up Boss
- Select Allow
- You will then be redirected to Follow Up Boss where you will click Allow
Adding Multiple Connections
Each Follow Up Boss user can have a Zillow connection once the initial connection has been established by an admin. Agents will complete the same integration steps above.
Benefits:
- Accounts that are operating two or more flex accounts out of the same FUB account and would like both to be synced between FUB and Zillow
- Zillow team members that want their personal leads (profile leads or leads purchased outside of the team) to be synced between FUB and Zillow
Admin users can view all connections on the account and agent mapping as it relates to assignments.
Initial Sync
Leads
Upon approving the integration, a sync will be established for all Zillow leads that have had an inquiry in the last 6 months. Any previously deleted Zillow leads may be readded to the account. You will see that a lead is synced when the Zillow icon appears next to their stage in Follow Up Boss.
The initial sync establishes the connection for information to sync after the connection is established. For example, notes already recorded in Zillow before the connection was established won't sync, but notes recorded after the integration is in place will sync between both systems (see "Ongoing Sync" section below for more detail).
Note: If you have Zillow leads older than 6 months that haven't been added to Follow Up Boss, it's recommended to export a CSV of your leads from Premier Agent and import them to Follow Up Boss. Alternatively, you can manually add older Zillow leads to Follow Up Boss so that they sync when they become active again.
Status/Stage
Upon approving the integration, all Zillow leads in Follow Up Boss will have their stages limited to the following stages:
- Lead (syncs with Zillow status "New")
- Attempted Contact
- Spoke with Customer
- Appointment Set
- Met with Customer
- Showing Homes
- Listing Agreement
- Active Listing
- Submitting Offers
- Under Contract
- Closed (Syncs with Zillow Status "Sale Closed")
- Nurture
- Trash (Syncing with Zillow Status "Rejected")
The above stages will be added to your Follow Up Boss account if they do not already exist. Any Zillow leads that are not in one of the above stages will be automatically updated to their current status in the Premier Agent App. Any Zillow leads that are already in one of the above stages will stay in that stage and the status in the Premier Agent App will be updated to match (The exception is Lead. If a contact is in the stage "Lead" in Follow Up Boss, it will be updated to the current Zillow status).
Tip: Be sure to review your Smart Lists, Action Plans, and Automations to account for any new stages added to your account.
Ongoing Sync
The ongoing sync will sync stage updates, assignments, notes, communication signals, and deals.
Stages/Statuses
Updating the stage in Follow Up Boss will update the Status in Zillow. Updating the Status in Zillow will update the Stage in Follow Up Boss.
Assignments
When a lead is reassigned to a new agent in FUB or Zillow, the assignment will be updated in both systems. If a lead is assigned to a Pond in Follow Up Boss, the assignment will not change in Zillow until the lead is claimed from the pond.
Lead Events
When there is a new lead from Zillow or a new inquiry on an existing Zillow lead, the inquiry will show in the Follow Up Boss timeline.
Notes
When a note is added to a lead profile in Zillow or Follow Up Boss, the note will be visible in both systems. Notes added from Follow Up Boss can fulfill any Zillow Flex update requirements.

Deal/Transactions
When a deal is created in Follow Up Boss and includes the required information to sync (street number, street name, city, state, and zip code), you can choose to sync the deal to Zillow. Once synced, you will see the Zillow icon next to the Deal and you will see it listed under Transactions in Zillow.
When a deal is created in Zillow, it will be automatically created in Follow Up Boss in the first stage of the first Deal pipeline. After a deal is created in Follow Up Boss, the "Sync to Zillow" option will appear. If a deal is deleted in Follow Up Boss, the corresponding transaction will be canceled in Zillow. If you do not want to cancel the transaction in Zillow, you can archive the deal in Follow Up Boss instead.
Currently, only Zillow Deals can have a property associated. Therefore, in order to see the Property Address field, the deal needs to have a Zillow Agent as well as a Zillow Lead.
Tip: To prevent duplicate transactions, be sure only to create deals in one place.
Communication Signals
When a text, call, or email to a lead happens from Follow Up Boss, Zillow will receive a sign that communication has happened. The body of the message is not currently shared with Zillow but the signal will fulfill any Zillow Flex update requirements.

Please note, we will not delete any leads and we will not update any stages when you disconnect. If you want to return leads to the stage they were in prior to connecting, you need to do this manually. We recommend that you tag leads with their old stages prior to turning on the sync in case you need these stages for reference.
If an existing lead comes back in through Flex, the Zillow icon will appear and the lead will begin syncing. When this happens, the best course of action is:
1. File a FLEX Success Fee Exemption Request with Zillow
2. Mark the lead as "Trash" in Follow Up Boss which Rejects the lead in Zillow.
3. Create a duplicate contact in Follow Up Boss with just the Name and the source. Update the lead to the correct stage.
4. Merge the duplicate contact with the Trashed contact keeping the duplicated contact as the primary contact. This should bring over all the pertinent details from the original contact record.
This process will ensure that automations are not triggered on the newly created contact.
