What are smart actions?

After you make a call through your FUB phone number, smart actions reviews the conversation and suggests CRM updates via text message. Instead of opening FUB after every call to update the lead record, the update comes to you.

Smart actions covers three types of updates:

Stage updates. If your call indicates the lead's stage should change, you get a text. Tap yes to approve or no to decline. Only Zillow buyer lead stages are supported at the moment. We're working on expanding this.

Appointments. If your call indicates a follow-up appointment was agreed upon, you get a text suggesting you create it. Tap yes or no.

Timeframe to move. If the call indicates the lead's buying or selling timeline has changed, smart actions updates the timeframe automatically. You'll see every timeframe change in the lead's change log.

Smart actions doesn't fire after every call. It only acts when it detects one of those three scenarios.

How it works

1. You finish a call made through your FUB phone number.
2. AI reviews the call transcript and determines if a stage update, appointment, or timeframe change is needed.
3. For stage updates and appointments, you receive a text message. Tap yes to approve or no to decline. A reminder will be sent after 2 hours if you don’t respond. For timeframe updates, FUB updates the lead record automatically.
4. Approved and automatic updates appear in the lead's change log.

Seeing smart actions on the lead record

Every change made by smart actions is clearly labeled so you always know what happened:

On a contact's timeline, you'll see "Updated by FUB" in purple if a field was last updated through smart actions. Click it to view the change log, where smart actions updates are marked with a purple wand icon. You can undo smart actions field updates from the lead profile change log.

Appointments created by smart actions will show "Created by FUB" in the appointment description field.

Requirements

Smart actions is available to any FUB user whose team has:

1. FUB Calling. Calls must be made through your FUB phone number.

2. Call recording power-up enabled. This is an account owner setting that lets FUB generate the call transcript.

3. Zillow two-way integration active. This is enabled by your team lead.

Smart actions currently only runs for leads that are in a Zillow stage. Leads you've moved into a custom stage (for example, Vendor) will not receive suggestions.

Smart actions settings

Team owners and admins can manage smart actions for the whole team from Admin → AI Settings. Changes apply to everyone on the account.

For each update category, admins can choose one of two modes:

Suggest only. FUB texts every suggested update to the agent to review and approve before anything changes.

Automatic. FUB applies some updates automatically and surfaces others for approval. Here's what automatic does today:

• Stage updates: Early Zillow pipeline stages (Attempted Contact, Spoke with Customer, and Appointment Set) are applied automatically. All other stage changes are sent to the agent for approval.
• Appointments: The suggested appointment is created automatically and associated with the lead.
• Timeframe to move: Always updated automatically, regardless of which mode is selected. Every change appears in the lead's change log.

To turn smart actions off entirely, update the toggle from "On" to "Off" in Admin → AI Settings.

We may refine these defaults over time as we learn from the beta.

Important: DO NOT reply STOP or block the number sending you smart actions suggestions. That will stop all texts from FUB, including new lead alerts.

If you don't want smart actions texts, head to your Notification Settings and uncheck the row ‘FUB suggests a CRM update’. Turning off text notifications means updates that need approval will not be made.

Stopped getting smart actions texts? How to fix it

If you replied STOP to a smart actions text or blocked the FUB phone number (+1 855-672-9245) on your device, you may have accidentally stopped all texts from FUB, including new lead alerts. Here's how to fix it.

First, figure out what happened

• Replied STOP: You opted out at the carrier level. The carrier is no longer delivering any FUB texts to you, not just Smart Actions.
• Blocked the number: Your phone is silently rejecting texts from FUB before you see them.
• Both: If you did both, fix both. Start with unblocking, then re-subscribe.

If you replied STOP: how to re-subscribe

• Text START to  855-672-9245. You'll receive a confirmation text. All FUB texts will resume, including lead alerts and smart actions.

If you blocked the number: how to unblock

• iPhone: Go to Settings → Phone → Blocked Contacts. Find  855-672-9245, swipe left, and tap Unblock. Full steps from Apple →
• Android: Open the Phone app → Settings → Blocked Numbers. Find  855-672-9245 and tap Unblock. Full steps from Google →
• After unblocking, if you also replied STOP, text START to  855-672-9245 to re-subscribe.

How to turn off smart actions the right way

If you don't want smart actions texts but still want to receive lead alerts and other FUB texts, here's how to turn them off without affecting anything else.

• For agents: turn off smart actions text notifications
  • Go to your notification settings page inside FUB and uncheck smart actions notifications. You'll stop receiving smart actions texts after calls, but all other FUB text notifications (including lead alerts) will continue as normal. Automatic updates (like timeframe changes) will still be applied after calls.
• For admins: turn off smart actions for the whole team
  • Go to Admin → AI Settings and toggle smart actions from "On" to "Off." This turns off the feature entirely for everyone on the team. No one will receive smart actions texts, and no automatic updates (like timeframe changes) will be applied after calls.

Important

Never reply STOP or block  855-672-9245  to turn off smart actions. That will stop all texts from FUB, including new lead alerts. Use the settings inside FUB instead.
