What is automatic CRM updates?
Automatic CRM updates is an AI-powered feature in Follow Up Boss that helps you keep your lead records up to date automatically.
After you finish a call using your FUB phone number, the system reviews the conversation and suggests stage updates to your CRM.
You’ll receive these suggestions by text and can confirm with one tap — no need to sign in or remember to update later.
If an update to the lead's timeframe to move is detected, their timeframe will be updated automatically.
Feature requirements
Automatic CRM updates are available for Zillow Preferred users who:
- Use FUB Phone
- Have the call recording power-up enabled (primary account owner setting)
- Have Zillow 2-way integration active (admin setting)
If you are enrolled in the pilot and missing any of these, you will need to complete the setup before the feature activates. You can find setup instructions here:

How does it work?
Here’s what happens step-by-step:

After your call ends.
AI reviews the conversation using the call transcript or your call notes. -
Suggestions are created.
Examples include:- Change stage (e.g., “Showing Homes” → “Under Contract”)
- Update timeframe to move (auto-updated if confidence is high)

You get a text message.
You’ll see options to:- Accept ("Yes")
- Decline ("No")

Your CRM is updated.
Updates you approve are applied right away. Timeframe updates are applied automatically. You can view updates to lead stage and timeframe in your lead’s change log.
What you should know
- Reminders & expiration: After a suggestion is sent to you, if no response is received, a reminder will be sent after 2 hours. After a total of 4 hours, if there are other CRM update suggestions for you, the previous suggestion will expire, so a new suggestion can be made. If there are no other update suggestions in the queue, the initial suggestion will be active for up to 8 hours.
- CRM update text messages will be paused daily from 9:00 PM to 8:00 AM local time, in alignment with other FUB text notifications. Call suggestion notifications will resume at 8:00 AM local time and will include all suggestions generated between 9:00 PM and 8:00 AM, so you don’t miss anything.
- You’ll get automatic CRM update suggestions by text message (RCS or SMS) from +1 (855) 672-9245, depending on your device and carrier support.

How to receive automatic CRM update messages (RCS or SMS)
You’ll receive automatic CRM update suggestions by text message from Follow Up Boss after calls made with your FUB phone number.
If your phone and carrier support Rich Communication Services (RCS), you’ll receive messages with a richer experience (e.g., "yes" or "no" buttons for confirming updates).
If not, no worries — you’ll still receive the same suggestions via regular text message (SMS).
✅ To enable RCS on your device:
On iPhone:
- Open the Settings app
- Tap Apps → Messages
- Tap RCS Messaging and turn it on
- To allow messages from businesses (like Follow Up Boss), turn RCS Business Messages on

Most carriers now support RCS. If yours doesn’t, you’ll still receive updates via SMS.
FAQ
Q: What happens if I do not respond to a suggested update?
A: No changes will be made to your CRM.
Q: Can I undo an automatic update?
A: There is no automatic "undo" option, but all updates are logged. You can manually revert changes to the lead profile.
Q: Can I reply STOP to opt out of these notifications?
A: Yes, but doing so means opting out of all SMS alerts from FUB, including everything you have subscribed to text notifications on your FUB notifications page. We recommend unchecking the specific notification at your notifications page instead (same image above) to opt out of only the Automatic CRM update notifications.
Q: Can I opt out of automatic CRM update notifications?
A: Yes. You can do so by un-checking the box for text notifications under your Notification Settings.
Q: How can I view what client updates were made on my behalf?
A: In your client lead page, you can view changes to the lead through the change log. If FUB makes a lead stage or timeframe update on your behalf through this feature (e.g. updating lead stage), you will be able to view that in the log (see example below). The change was not made by another person in your account. Appointments created by FUB through this feature will also include "Created by FUB" in the description field.
