Stages/Statuses
Updating the stage in Follow Up Boss will update the Status in Zillow. Updating the Status in Zillow will update the Stage in Follow Up Boss.
Assignments
- When a lead is reassigned to a new agent in FUB or Zillow, the assignment will be updated in both systems.
- If a lead is assigned to a Pond in Follow Up Boss, the lead will not be reassigned in Zillow (keeping the My Agent relationship the same).
- Once a lead is claimed from the Pond in Follow Up Boss, the assignment will be updated in Zillow.
- If a lead is assigned in Follow Up Boss to an agent that doesn’t exist in Zillow, Zillow will send an email notification to the Team Lead in Zillow and the assignment will not be changed in Zillow.
- If the lead is assigned in Zillow to an agent that doesn’t exist in Follow Up Boss, the assignment will not be changed in Follow Up Boss.
Lead Events
After the integration is established and you receive new leads, you will instantly see their browsing activity, like Viewed, Saved, Shared, and Hidden homes in the past 4 weeks for your Zillow connections, as soon as you are connected, directly in FUB.
When there is a new inquiry on an existing Zillow lead, the inquiry will show on the Follow Up Boss timeline.
Notes/Call Logs
When a note is added in Follow Up Boss, a note will also be added to the contact in Zillow which can fulfill an update requirement from Zillow.
When a note is added in Zillow, a note will also be added to the profile in Follow Up Boss. Currently, notes will be attributed to the Team Lead in both systems. Notes added by a third-party source (ex. Zapier) will not be sent to Zillow for privacy purposes.
Note: Loan Officers cannot be tagged or mentioned in a FUB note. To do this, they need to be a user on the FUB team account.
Deal/Transactions
When a deal is created in Follow Up Boss with the necessary details (street number, street name, city, state, and zip code), you have the option to send the deal to Zillow. Once sent, you will see the Zillow icon next to the Deal and you will see it listed under Transactions in the Zillow Premier Agent app.
Alternatively, when a transaction is created in the Zillow Premier Agent app, it will automatically create a Deal in Follow Up Boss in the first stage of the first Deal pipeline. After a deal is created in Follow Up Boss, the "Sync to Zillow" option will appear. We recommend having a consistent process to avoid creating duplicate leads. Creating the Deal in FUB and sending it to Zillow is the preferred route by most teams.
If a deal is deleted in Follow Up Boss, the corresponding transaction will be canceled in Zillow. If you do not want to cancel the transaction in Zillow, you can archive the deal in Follow Up Boss instead.
Currently, only Zillow Deals can have a property associated. Therefore, in order to see the Property Address field, the deal needs to have a Zillow Agent as well as a Zillow Lead.
Tip: To prevent duplicate transactions, be sure only to create deals in one place.
⚠️ Warning: Do not delete deals in FUB unless they have been canceled. Archive the deal for all other use cases.
Communication Signals
With the use of Zillow Messaging, within FUB, communication signals will be sent to Zillow to fulfill update requirements. The content of text messages, emails, and call recordings are not shared with Zillow.
Call notes from Follow Up Boss will be sent to Zillow as a note.
Emails, initial text, and notes added by an action plan will be sent to Zillow and fulfill the communication requirements. Batch Emails fulfill communication requirements.
Note: The communication signals do not extend the My Agent Relationship. The My Agent Relationship must be extended through the PA App.
Tags
All Zillow Tags added to a contact will be added to Follow Up Boss prefixed with "Zillow". Tags added in Follow Up Boss are not sent to Zillow. Here is an example of some of the tags that can be added:
Static Tags
Static Tags will be applied to a contact to provide agents with additional information about that connection. The same connection can have multiple tags that apply to them at any given time during their journey.
- Zillow Real-time tour: Contacts who are Real-Time Touring connections.
- Zillow Showcase: Contacts originated from a listing leveraging Listing Showcase.
- Zillow Originated as seller: Contacts who are seller connections.
- Zillow Connected with Opendoor: Sellers who also connected with Opendoor (in select markets only).
- ZHL interested: Contacts who indicated they are interested in learning more about Zillow Home Loans.
- ZHL connection: pre-qualified: Contacts who got pre-qualified through Zillow Home Loans’ digital pre-qualification on their own before getting connected to a Premier Agent.
- ZHL connection: pre-approved: Contacts who got fully pre-approved with a Zillow Home Loans’ loan officer before getting connected to a Premier Agent.
Dynamic Tags
Dynamic Tags will be applied to a contact at a given point in time if they meet certain criteria.
- Zillow High Intent Seller: Seller contacts who are high intent and most likely to transact in a 6-month period, as part of Zillow’s client insight tools - predictive signals.
- Zillow High Intent Buyer: Buyer contacts who are high intent and most likely to transact in a 6-month period, as part of Zillow’s client insight tools - predictive signals.
- Zillow Likely to Submit for Mortgage: Contacts who have been flagged to have high propensity to initiate a mortgage inquiry with ZHL in the next 30 days, Zillow’s client insight tools - predictive signals.
- Zillow Likely Homeowner: Contacts who are likely to own a property, based on Zillow’s client insight tools - predictive signals.
- Zillow Likely Renter: Contacts who are likely to be considering renting, based on Zillow’s client insight tools - predictive signals.
- Zillow Re-engaged buyer: Contacts who viewed a Home Detail Page or saved a Home after being inactive for at least 14 days, as part of Zillow’s client insight tools.
- Zillow Specific home interest: Contacts who viewed a property’s details page on Zillow's site 10 or more times within a 7 day period, as part of Zillow’s client insight tools.
- Zillow Browsing a new area: contacts who have viewed multiple properties in a new zip-code for the first time in the last 60 days.
ZHL transfer & loan status
ZHL transfer & loan status will change as a contact moves through the different stages of their financing journey with Zillow Home Loans.
- ZHL pending transfer: ZHL interested contacts that haven’t yet been transferred to Zillow Home Loans.
- ZHL transferred: ZHL interested contacts that have already been transferred to Zillow Home Loans.
- Zillow ZHL Status: Contacting: Contacts who Zillow Home Loans is trying to get in contact with.
- Zillow ZHL Status: Contact Made: Contacts who Zillow Home Loans has made contact with.
- Zillow ZHL Status: Evaluating finances: Contacts who are having their finances evaluated by Zillow Home Loans.
- Zillow ZHL Status: Pre-approved: Contacts who have an active pre-approval from Zillow Home Loans.
- Zillow ZHL Status: Started application: Contacts who have started a loan application with Zillow Home Loans.
- Zillow ZHL Status: Sent disclosures: Contacts who have been sent Initial Disclosures from Zillow Home Loans.
- Zillow ZHL Status: Received intent: Contacts who have expressed Intent to Proceed with Zillow Home Loans.
- Zillow ZHL Status: Underwriting: Contacts who are currently having their Zillow Home Loans loan file reviewed by underwriters.
- Zillow ZHL Status: Closing: Contacts who are currently in the closing stage of their loan with Zillow Home Loans.
- Zillow ZHL Status: Funded: Contacts who have funded a loan with Zillow Home Loans.
- Zillow ZHL Status: File no longer active: Contacts who are no longer working towards closing a loan with Zillow Home Loans.

Price
When the top of the contact's pricepoint in Zillow is updated, or the Price in Follow Up Boss is updated, the change will be reflected in both Zillow and Follow Up Boss.
Viewed/Saved Properties and Saved Searches
When a lead has an active My Agent Relationship, viewed/saved properties and saved searches will appear in FUB on the Lead Profile. With Client Insight Tools, you will have a crystal-clear picture of your confirmed clients’ Zillow activity inside FUB.
