CRM Buddy is a voice-to-CRM assistant built for real estate agents. It allows you to update Follow Up Boss by speaking instead of typing.
Agents often miss follow-up because logging in, navigating screens, and typing notes takes time. CRM Buddy removes that friction by letting you capture conversations in seconds and automatically update Follow Up Boss with the right information.

What information syncs?
When you speak to CRM Buddy, it can:
- Create or update contacts.
- Create or update deals (opportunities).
- Add notes.
- Create tasks.
- Create appointments.
CRM Buddy reads your existing contacts, deals, and configuration from Follow Up Boss. When you issue a voice command, it writes updates back using the Follow Up Boss API.
CRM Buddy does not overwrite data unless you explicitly instruct it to update something.

- You speak naturally to CRM Buddy after an open house, listing appointment, buyer tour, or networking event.
- CRM Buddy transcribes what you said.
- It interprets your request using your Follow Up Boss setup, including tags, stages, and custom fields.
- It uses the Follow Up Boss API to create or update the appropriate contact, deal, note, task, and/or appointment.
- When you log in to Follow Up Boss, the updates are already in place.

“I just finished a listing appointment with Sarah at 123 Oak Street, list price 750k, create a deal and a task to send the listing agreement tomorrow at 9 a.m.”
CRM Buddy will:
- Create a deal for 123 Oak Street.
- Add a note with the appointment details.
- Create a task for tomorrow at 9 a.m.
Before you begin
- You must have an active Follow Up Boss account.
- You must have admin access to create an API key in Follow Up Boss.
- Each agent must connect their own Follow Up Boss account using their personal API key.
Set up the API integration
Step 1: Create your CRM Buddy account
- Go to crmbuddy.io.
- Sign up for a new account.
Step 2: Get your Follow Up Boss API key
- Log in to Follow Up Boss.
- Go to Admin.
- Select API Keys & Lead Email.
- Click Create API Key.
- Name the API key “CRM Buddy.”
- Copy the API key.
Step 3: Connect Follow Up Boss in CRM Buddy
- Log in to the CRM Buddy app.
- Complete the onboarding flow, or go to Settings.
- Select CRM Integrations.
- Choose Follow Up Boss.
- Paste your API key.
- Click Save.
If the API key is valid, you will see a confirmation indicator within a few seconds. CRM Buddy will begin syncing your contacts and deals.
Step 4: Complete quick setup and assistant rules
- Confirm your time zone, goals, and default follow-up time.
- Go to Settings.
- Select Assistant Rules.
- Configure preferences such as:
- Tag rules.
- Note formatting.
- Opportunity naming.
- Default follow-up timing.
- Contact custom field preferences.
- Opportunity custom field preferences.
- Adjust voice preferences, if desired.
Start using voice commands
After any call, showing, open house, or event:
- Open CRM Buddy.
- Tap the microphone.
- Speak your update clearly and in complete sentences.
Then log in to Follow Up Boss to confirm your contacts, deals, notes, tasks, and appointments have been updated.
Troubleshooting
Nothing is syncing or no contacts appear
- Confirm your Follow Up Boss API key was copied completely and correctly.
- Ensure the key belongs to the correct Follow Up Boss account.
- Avoid connecting two different CRM Buddy accounts to the same Follow Up Boss account using separate API keys.
- If the key is valid, you should see a confirmation indicator shortly after saving.
Deals or tasks are not named as expected
- Go to Settings.
- Select Assistant Rules.
- Update your preferences for:
- Tag rules.
- Note formatting.
- Opportunity naming.
- Follow-up timing defaults.
- Custom field handling.
Be specific in your voice commands. For example, say “Create a deal for 123 Oak Street at 750k” instead of “Create a deal for that listing.”
Voice commands are not doing what you intended
Speak in complete sentences and clearly specify:
- Who (contact name).
- What (note, deal, task, or appointment).
- When (date and time).
If the result is not what you expected, review the created record in Follow Up Boss and adjust your phrasing next time.
