When you connect an email to Follow Up Boss, we will sync with that email's inbox and calendar so you can review your emails and appointments from both inside of Follow Up Boss and within your email service provider. How seamless is that!? Once you connect your email, Follow Up Boss will be one central spot to find all of your communications (email, text, call history), notes and appointments!
The biggest bonus? Once your email is connected, go to Admin > API to turn on lead processing and we can scan your inbox for new lead notifications and add those contacts to Follow Up Boss without you having to do a thing!
How it Works
How to Connect your Email
- Go to My Settings (Click your Initials/Image in the upper-right corner)
- Click Sign in with Microsoft or Sign in with Google
- Follow the prompts of your email provider to sign in
- Once connected, go to Admin > API to turn on lead processing if you want us to automatically add your leads to Follow Up Boss.
If you are usually signed in to multiple email accounts, you will need to select the one account you would like FUB to sync with and sign in to.

Difference Between Login and Connected Email
Login Email - This is the email address we send FUB notifications to (new lead alerts, for example) and the email for the merge field. This is also the email address that action plan emails are sent from.
Connected Email - The email address we sync to and the address emails (1:1 and batch emails) are sent from when you send emails through FUB.
Note: We highly recommend that your login and connected email addresses are the same.
Why connecting your email is important
Once you've connected your email, FUB will be able to:
- Sync Sent and Received Emails to/from FUB contacts
- Import your signature
- Stop action plans automatically when a contact replies to an action plan email
- Send emails directly from your email provider
- Remove the small "sent via" message that displays when your email is not connected
- Show a copy of the email in your regular "Sent Mail" folder (for connected Google-hosted and O365 emails only)
- Archived emails in Google will be archived in your Follow Up Boss Inbox and anything you close in Follow Up Boss will be archived in Google (Google-hosted emails only)
- Sync appointments and FUB tasks with your calendar
- Process lead notifications from supported lead providers
- Integrated multi-language support: English, French, and Spanish (Google-hosted emails only)
Email Syncing Explained
Emails between the connected email and an email listed on a lead profile are synced to Follow Up Boss. Emails between two agents on the same account will only be synced if a lead is also included in the message.
Example: If your Transaction Coordinator is also a user on the same Follow Up Boss account, emails directly between you and your TC will not be synced into FUB. However, if your client is also included in the email with you and your TC, that message will be synced to the client's timeline in Follow Up Boss and to your FUB Inbox.
FAQs
For Account Owners, Admins and Agents: When you manually import leads using a CSV file, we'll also go look for conversations in the last 90 days related to those leads that you have imported and pull them into Follow Up Boss. Please note: the email of the user needs to be connected first and the contacts need to be automatically assigned to the user during the import process.
You want to make sure that you do not have yourself in FUB as a test contact. If you do, it's going to think you're a lead and pull in all of your email communication outside of FUB.
You can do that on your My Settings page (click your initials in the top right-hand corner of the page and select My Settings). On that page, you can click the "Disconnect" link next to your Connected Email. Then start over with the steps in this article to connect your new email.
That means that your email has become disconnected from Follow Up Boss. This can happen when you change your password or when a server is updated. Just click the prompt to reconnect your email. When you reconnect an email that was disconnected, we will automatically process leads and emails for up 2 days back. Leads sent to a disconnected email address 2 or more days ago won't be processed automatically and need to be entered manually.
We highly recommend using a Google or Microsoft email for the best experience with Follow Up Boss and for the full benefits of connecting your email. We cannot guarantee a successful connection with unsupported email providers.
No! All correspondence will continue to be available in the contact/lead profile.
Please proceed or click OK when you get that message when connecting to Google if you want to connect your Google email to Follow Up Boss. The warning states essentially what Follow Up Boss has access to, but changes are made only when it is requested by you so that we can sync Follow Up Boss with your email. After accepting the message, this will allow you to send/receive emails from your Google account from within Follow Up Boss.

Follow Up Boss can only connect one email per user account. There isn't a method to connect multiple emails. You may want to add additional users if you'd like to have multiple emails connected.
Follow Up Boss cannot connect an email to a user's settings and a team inbox. We highly recommend that each user has a connect email and an additional team email address is connected to a team inbox.
Yes! Your email can be connected to multiple user accounts at the same time, so long as they are in different team accounts. The same email cannot be connected to two user accounts within the same team account. If two or more users need access to the same email correspondence, we recommend connecting that email to a team inbox.
