The Inbox is an intuitive way to track conversations with your Follow Up Boss contacts. Access your calls, emails, and text messages from one place across the web and mobile devices.
Your daily goal should be Inbox Zero, meaning all communications are actioned on each day (Delegate, Defer, Do Now, Delete). Make it a priority to clear your Inbox every day, the same way you would for a to-do list. This way, you'll be ready to go with a clean slate every morning!
Your inbox will only display communication with the contacts you have in FUB, excluding marketing emails, spam, bills, etc., so you focus on the people you need to respond to most.
Definitions
My Inbox
This is your personal inbox that tracks communication between you and the contacts you have in Follow Up Boss. This includes text message replies and any inbound communication with your connected email or calling number. We'll also display any assigned conversations here.
Team Inbox
The Team Inbox is a collaborative inbox that multiple users can view and reply to. All admins have access to team inboxes, and any non-admin can be added as a team member to view communication. This inbox also supports texts, calls, and emails from unknown contacts and incoming new leads.
Using Inbox on Desktop
Inbox Folders
To stay organized, each inbox has five folders: Inbox, Assigned, Drafts, Sent, and Closed.
- Inbox: All new communication that has not been opened.
- Assigned: Communication that has been assigned to the inbox.
- Drafts: Unsent messages that have been auto-saved.
- Sent: All communication sent from the FUB inbox.
- Closed: Communication that has been marked closed.
Filtering Communication Types
Use filters in the inbox to view specific types of communication (All Types, Emails, Texts, Calls, Inbox Apps).
Contact Name
By clicking on the contact's name, you can quickly view their profile.
Person Summary
The right pane of the inbox shows contact information, previous conversations, and website activity.
If they are a new contact, you can add contact details using this pane.
Replying to Emails
To reply to an email, choose Reply or Reply All. You can also Send & Archive to move the message from Inbox to Closed or just Send, which will keep the email in your Inbox.
Replying to Texts
To reply to a text, just type in your message and press "Send."
Notes
Quickly add notes using the yellow area at the bottom of each conversation.
Tip: Use inbox notes when assigning conversations or making notes regarding communication with yourself. Notes made in the inbox are not added to the lead profile.
Closing Conversations
Clicking the Close button will remove the conversation from the Inbox folder. You can still access it from the contact record. You should Close conversations when you are finished with them and aim for Inbox Zero.
When replying to an email, you can hit "Send and Close" to remove the conversation from the Inbox.
By default, all calls stay in the inbox so you can close them after you take action on them. The best practice is to add the caller as a new lead, return the call, or add your call notes before closing the call.
If your account prefers connected calls to be auto-closed, contact support@followupboss.com to toggle a setting to auto-close answered. Missed calls and voicemails will stay in the inbox until they are manually closed with this feature toggled.
Using the Inbox on the App
Accessing your inbox on the go is crucial to stay on top of communication. Check out iPhone: Inbox, Android: Inbox, and Team Inbox: On the Mobile Apps to learn more about the inbox on the app.
Google Sync
The inbox syncs with Google, so anything already archived in Google will be archived in your Follow Up Boss Inbox, and anything you close in Follow Up Boss will be archived in Google.
Note: This auto-archive in the connected inbox after closing in the FUB Inbox is exclusive to Google Email connections. For Microsoft 365 emails, closing the email in FUB won't cause it to be archived in the Microsoft 365 Inbox.
Conversation Assignment
You can delegate follow-up to your team members using the dropdown at the top right. For more information, seeAssigning a Conversation.
Mass Actions
You can perform mass actions for the items in your inbox. These actions include:
- Mark conversations as Read
- Mark the conversation as Unread
- Close conversations
- Reopen closed conversations
- Assign conversations to an agent or an inbox
To perform a mass action, select Select Conversations, select the conversations you'd like, and then select the Actions drop-down.
Troubleshooting the Inbox
If you see a lot of emails in your inbox from yourself or one person (e.g., one of your emails or an assistant), you need to remove that contact/email address from Follow Up Boss. Saving a team member's connected email address to a lead profile will pull all email communication into Follow Up Boss. Removing connected email addresses from lead profiles will let you focus on the emails and texts you need to respond to.
