Open and Click Tracking for Emails

Open Tracking

When you send an email to a client from inside of Follow Up Boss, including emails sent from an action plan or batch email, we will track if that email has been opened by the recipient.*

On the timeline of the contact that was emailed, you will see a small green indicator that will let you know how many times the email has been opened. This will update based on how many times the user specifically opened the email.

Note: We can only track opens and clicks for emails sent from directly inside of Follow Up Boss. Some email services may block content within the email that prevents us from tracking opens.

Open Tracking for Batch Emails

To view the number of opens of a batch email, go to Reporting > Batch Emails > Opens.

Note: This is the number of times the email was opened, not the number of people who opened the email.

Click Tracking

When you send out an email with a link in the body of your message, Follow Up Boss will track how many times that link was clicked.

On the timeline of the contact that was emailed, you will see another small green indicator that will let you know how many times the link in your email was clicked.

Click Tracking for Batch Emails

To view the number of times a link was clicked within a batch email, go to Reporting > Batch Emails > Clicks.

Note: This is the number of times the link was clicked, not the number of people who clicked the link.

Filtering People by Email Activity

Using the Last Email Activity column on the People screen, you can easily filter and/or sort by when people have last opened or clicked on an email you sent them.

Go to People > All People
Click Columns > Emails > select Last Email Activity
In the Last Email Activity column opens and clicks will appear in parenthesis
Filters for Last Email Activity can be added by clicking on the row header Last Email Activity > applying filter

FAQs

Why does the click tracking seem off?

When sending emails via Follow Up Boss, you will want to avoid copying/pasting text from Direct Mail as it may have its own tracking links. To avoid this from happening when copying/pasting text, we recommend pasting the text into a Google Doc and then copying the text from Google Docs to Follow Up Boss as Google Docs will remove the previous tracking links.

Additionally, there are services that provide enhanced security measures that scan all links for spam. When this software "clicks" a link, it counts as a click in Follow Up Boss.

Why does open tracking seem off?

When emails are sent to contacts, many email providers open the email in a preview to scan for spam, triggering an "open." This can create false positives for open tracking and is not isolated to Follow Up Boss. This applies to any service you use to send emails.

Similarly, there are email provider settings and browser extensions that can prevent email opens from being reported to Follow Up Boss. Gmail and Outlook both have apps that focus on privacy, and part of those efforts is to block email tracking. They will proactively recognize when an email has a tracking pixel in it and then prevent that image from loading. There are browser extensions that do the same.

If NONE of your emails are being reported as opened, you should reach out to the Follow Up Boss Support team. However, if it only happens on a handful of contacts, those are likely attributable to the factors mentioned above.

How does email tracking work with relationships?

Follow Up Boss email tracking shows if an email was opened or clicked but is unable to specify which contact, the main contact or the relationship, completed the action.
