When one of your team members will be out of office temporarily, you can utilize Follow Up Boss team inboxes to forward calls made to their Follow Up Boss number. Once created, this inbox can be kept for later use.
Step One: Create the Out of Office Inbox
First, create a Team Inbox. Give the inbox a name such as "Out of Office Forwarding" so that it's purpose is clear to everyone on the team. Add at least one team member to the "Call Routing" section and click Save to finish creating the inbox. Notice that the Out of Office inbox generates a new placeholder FUB number.
Note: Only admin users have the ability to create and edit team inboxes.
Step Two: Using the Out of Office Inbox
When someone is going to be unavailable because they are out of the office for a period of time, you're ready to use your out of office inbox. This allows calls to the unavailable agent's FUB number to be routed to another team member. To do this, you'll need to move their number to the out of office inbox.
1. Head to Admin > Phone Numbers and locate the placeholder number for your out of office inbox.
2. Select Actions > Swap Number and swap the placeholder number with the unavailable agent's number.
3. Head to Inbox > Manage and click on the Pencil Icon to edit the Out of Office Inbox. This is where you'll choose who calls should be routed to:
4. When the teammate returns, you'll need to swap the placeholder number and the number of the person who was out of office back to the normal setup per step 2.
