Grant and use delegated access in Follow Up Boss
Who this applies to
FUB Owners and Admins who need to grant temporary account access to a Trusted Partner, and Trusted Partner users who receive a delegation link.
Create a delegation link
Open API settings
- From the FUB dashboard, select your user avatar or the Settings icon to open the Settings page.
- Select Admin in the top navigation to open the Admin section.
- Select More in the Admin sub-navigation to reveal additional options.
- Select API from the dropdown. The API Settings page opens.
Set up the delegation
- Select Create Delegation on the API Settings page. The delegation creation modal opens.
- Configure the following fields:
- Trusted Partner: Select the Trusted Partner you want to delegate access to.
- Email restrictions: Select the Restrict to specific email addresses checkbox to limit access to specific addresses, then enter each address.
- Single use: Select this checkbox if the link should work only once. Leave it unchecked so anyone on the access list can reuse the link. If a single-use delegation has multiple addresses, the first person to open the link claims it.
- Expires in: Set how long the link stays valid — between 1 hour and 30 days.
- Select Create Delegated Access. A confirmation dialog appears with the delegation URL.
Copy and share the URL
- Select Copy URL to copy the delegation URL to your clipboard.
- Share the URL directly with the person who needs temporary access.
The new delegation appears in the API Settings page, showing the delegated user's email and expiration time.
Sign in as a delegated user
These steps describe the experience from the delegated user's perspective.
- Open the delegation URL shared by the admin. A FUB sign-in page appears with Google and Microsoft sign-in options.
- Select Sign in with Google. A Google account chooser appears.
- Choose the Google account associated with your Zillow Pro profile.
- Select Continue on the Google consent screen.
- You are now signed in to FUB under the delegation. The FUB dashboard loads with your name and avatar in the top-right corner.
Verify your access
- Select your avatar and navigate to My Settings to confirm your name and email are correct.
- Navigate to Admin > Overview to confirm you have full admin access for the duration of the delegation window.
Manage delegations
Edit a delegation
You can update the access list or expiration time of an existing delegation at any time from the delegation table using the Actions column. The single-use setting and the Trusted Partner cannot be changed after creation.
Copy a delegation link again
In the delegation table, select the option in the Actions column to copy the link at any time.
Revoke a delegation
Return to the delegation table in API Settings and select the revoke option for any active delegation. Revocation is immediate — anyone currently signed in under that delegation is signed out right away. A revoked delegation cannot be reactivated. Create a new delegation if access is needed again.

Delegated user permissions
Delegated users have broad admin access with the following restrictions.
Delegated users cannot:
- Delegate access to other users
- Reset a user's email or password
- Change multi-factor authentication (MFA) settings
Delegated users can set up integrations and perform other standard account support activities.
During a delegation session, FUB hides sensitive content from the delegated user, including email bodies and external calendar event details.

- A: No. The delegated user does not need an existing FUB account and never sees the account owner's password. Google or Microsoft sign-in is used only to confirm their identity. FUB requests the minimum scope required for that verification.
- Q: Does the admin need to sign out before the delegated user signs in
- A: No. The delegation URL works independently. The delegated user opens the URL in any browser without affecting the admin's session.
- Q: What happens when a delegated user signs out
- A: Only the delegated user's session ends. The admin's session is unaffected. The admin can sign back in independently using their regular credentials (email, password, and SMS MFA).
- Q: What happens if a delegation is revoked mid-session
- A: The delegated user is signed out immediately, even if actively working. There is no grace period.
- Q: How to tell if a delegation link has been used
- A: The delegation table shows the status of each delegation. A single-use link shows as Used once it has been claimed.
