Do you have leads assigned to agents who are just too busy to prospect them properly? Every single lead that isn’t actively nurtured is a wasted opportunity to close a potential deal. We built Lead Ponds to help you group those leads into opportunities for your team to actively grab and work.

Viewing Ponds

You will find a list of your existing ponds in your Admin section. You can edit or delete each pond in the Actions column. You can also create a new pond by clicking the Add Pond button to the upper right of the list of the ponds




Add Ponds

Click Add Pond to see a pop up that will allow you to create a new Pond. You need to specify the name for the Pond, the Pond Lead, and who will have access to the Pond. 

Pond Lead Agent When Leads are moved into the Pond we unassign them from the previously assigned agent and automatically stop all running Action Plans. The designated Lead Pond Agent will be used for any future/new Action Plans assigned to leads in the Pond. The designated Lead Pond Agent will also be used for other 3rd party systems that require an assigned agent for outbound texting & emailing. The Pond Lead Agent will receive all notifications If a new inquiry, etc., from an existing lead in the Pond, you will receive an email notification and a text message.

Team members: Adding your team to the Pond will grant them access to see all leads in the pond. They will also be notified of any new property inquiries made by Leads in the Pond and when Leads are released to the Pond.


Edit Ponds

If you choose to edit by clicking the pencil icon, you’ll see a pop up that will let you add or remove Agents. From the edit popup you can change the name of the pond, who is the Pond Lead, and Add/Remove people.


Moving Leads to Ponds

You can assign Leads to a pond on the People screen.  Click Agent and you will see the Ponds section at the top of the dropdown. Just select the pond you want to assign them to and they’re now in a pond!

Show Leads In Ponds

You can filter your Leads from the people view screen by clicking in the Everyone section and choosing the Pond or View All Ponds selection.


Display Pond Name In Table View

You can quickly view the ponds that your Leads are assigned to by clicking the Columns button, then clicking Assigned in the left column on the dropdown, and then make sure that the Pond checkbox is checked. Once added you can include and exclude ponds from your existing smartlists.



Claiming a Lead from a Pond

To take a lead out of a Pond, just click Agent on the People screen and select the Agent who wants the Lead.

Mass Action Assign To Pond

If you wish to move a large group of Leads into a pond you do that from the People screen, and mass action them to any of the Ponds you've created.


Delete A Pond

To Delete a Pond go to the Pond Admin screen and click on the delete icon. You will be asked to select the person you want any remaining Leads moved to before the Pond is removed. 

Pond Delete Tag
Any Leads moved during a Delete of a Pond will have a new tag created showing the Pond Name to help you track the source of the reassignment.

Pond Activity In Time Line

We added a new Pond Icon to show when Leads are Claimed and Released to a Pond.



Lead Pond Agent: Will receive all notifications as if they were the assigned agent for contacts in the Pond as they are the pseudo agent for the entire pond.
Team members: Will be notified of any new property inquiries made by Leads in the Pond and when Leads are released to the Pond.


What happens if I move my lead into a Pond that had an active action plan?

All running action plans will be paused when a Lead is moved into a Pond.

What happens if I move my lead into a Pond that has any assigned Tasks?

  • Completed tasks stay with the lead and not removed
  • All uncompleted tasks are removed from the Lead

Can I assign somebody to a Pond from lead flow?

Not at this time, but this is something we are looking to add.

Who gets notified when there is an activity in the Pond by a lead?

  • Phone Call/Text & Emails will route to whom they are they are connecting directly.
  • For an activity such as a new property inquiry, we will notify the Pond Lead agent for that Pond. We are actively researching how best to incorporate First To Claim or Round Robin with the Pond.

Can I see a report or set quota limits for Ponds to help coach my team?

No, but this is something we are considering how best to show this information for reporting.

Can I add an automation trigger to automatically place a lead in a Pond after ‘X’ amount of time?

Not yet, but this is something our automation team is researching.

How do permissions work with Ponds?

  • Agents - Can assign leads only to the ponds they have permissions to...
  • Agent as Contributor - They can only assign leads to the ponds they have access to for that lead.
  • Admin - Access to all ponds and edit control of the pond.
  • ISA / Account -  Access to all ponds
  • Team leader of a Team - Access to team ponds they have access to but they can't see other teams lead ponds.

Do Leads in my ponds count towards my Everyone view count totals?

No, Leads in your Ponds do not count towards your everyone's view total counts and you will notice the number decrease as you move leads into Ponds. When moving Leads to a Pond you will see the everyone count change to reflect the Lead's move to a pond.




FAQ (3rd party applications)

Does the Everyone View Show Pond Leads?

When selecting Everyone view it will now include Ponds in those results. This change was made to address the confusion with "where did my leads go?" when you would move leads to the pond and watch the leads disappear from view. Of course, if they want to filter your smartlist to see just pond leads when on the Everyone view you can do that in the smartlist filter or choose the Pond you want to view.



What will they see as the assigned agent for Leads in the Pond?

When a Lead is assigned to a pond, we use the Lead Pond agent info for integrations that retrieve information about a lead’s assigned agent for communications. This is also the agent who will receive notifications about the lead if any new inquiries or other events come in. 

How can they retrieve the list of Leads in a Pond?

Our partners will need to review how best to incorporate Ponds into their systems but it's fairly simple. When they query the /people API endpoint records in a Pond will be excluded by default. In order for them to retrieve results, they will have to add the parameter 'includePonds=1' to the query string. This does not impact requesting a specific lead /people/:id will work as usual it is just requesting a list.
