Ace AI is an AI-powered assistant that is deeply integrated to function as an intelligent layer directly within Follow Up Boss. It's designed to help real estate teams engage leads faster, maintain better contact organization, and ultimately close more deals, all from within the FUB interface. A key aspect is that Ace AI is embedded, meaning no Chrome extensions or separate logins are needed. Some of the main benefits include:

What Syncs?

Follow Up Boss to Ace AI

Ace AI securely reads a comprehensive set of data from FUB to build its contextual understanding. This includes contact details (name, email, phone, stage, source, tags, custom fields), communication details (notes, calls, texts, emails), workflow items (tasks, appointments, action plans), deal information, and timeline events. Our Knowledge Base feature also learns from an account's FUB CRM structure, established workflows, and common communication patterns.

Ace AI to Follow Up Boss

Creating new notes (e.g., summaries of AI conversations).
Creating tasks and scheduling appointments.
Editing person records (e.g., updating contact information, stage, source, custom fields, tags,
applying action plans).
Initiating email sends (via the user's connected email account, orchestrated by Ace AI).
Automatically populate and update custom fields within FUB (with the Ace Intelligence Add-On).

API Integration

Note: An account admin must complete the API integration.

Follow Up Boss

1. Go to Admin > Integrations

2. Scroll down to Embedded Apps > Ace AI

3. Select Enable

4. Go to Admin > API

5. Create an API key for Ace AI (this will be used in step 6)

Ace AI

6. Go to SETUP > Paste the FUB API key generated above > Connect API Key

7. Follow the prompts to complete the Ace AI configurations (team branding, assistant settings, enable users, prompts). When asked to enable Ace in FUB, click I've Enabled Ace (completed in step 3).

FAQs

How is my Follow Up Boss data kept safe when using Ace AI?

Protecting your data is very important to Ace AI. We use your secure Follow Up Boss API key to interact with your CRM. Any sensitive contact information (like names and email addresses) is "anonymized" (masked) before being processed by the AI for tasks like summarizing or drafting messages. We also use encrypted connections (HTTPS) and other security best practices.

What kind of information from Follow Up Boss does Ace AI use?

To assist you effectively, Ace AI works with your contact details (like name, email, stage, and tags), their communication history with you (notes, calls, texts), any ongoing tasks or appointments, and information about your deals. It's a two-way street: Ace AI reads this for context and, when you tell it to, can also update this information in FUB (like creating a new note or task).

Can Ace AI make phone calls or send texts for me automatically?

Ace AI can help you draft personalized SMS messages and emails. If you've connected your email account to Ace AI, it can send emails for you when you ask it to. For SMS messages, Ace AI will help you write the perfect text, which you can then send using your usual Follow Up Boss texting tools (so it comes from your FUB number). Ace AI doesn't make direct phone calls.

How does Ace AI know enough about my contacts and business to be helpful?

Ace AI securely accesses relevant information from your Follow Up Boss account (like contact history and notes) to understand the context of your conversations. It also has a "Knowledge Base" feature that learns about your team's specific ways of using Follow Up Boss, such as your action plans and common communication styles. Your admin can also add custom instructions to further tailor Ace AI to your needs.
