Update Contact Stages in FUB
When you enable the Two-Way Integration, you will need to use Zillow’s Contact Statuses as Stages for all Zillow-sourced leads within Follow Up Boss.
If you aren’t already using Zillow’s Contact Statuses, you may want to consider taking one of the following steps prior to turning on Two-Way Integration. Every team is set up differently, so if you need help choosing which is best for you, we recommend contacting our Support team.
A) Rename your existing FUB Stages to match Zillow's Contact Statuses (for all contacts)
- Click on “Stages” and rename your existing stages that are the most similar:
The stages are:- Lead (syncs with Zillow status "New")
- Attempted Contact
- Spoke with Customer
- Appointment Set
- Met with Customer
- Showing Homes
- Listing Agreement
- Active Listing
- Submitting Offers
- Under Contract
- Closed (Syncs with Zillow Status "Sale Closed")
- Nurture
- Trash (Syncing with Zillow Status "Rejected")
- During this step, consider deleting and merging any existing stages that are similar. For example: If you have a stage called “Nurture 3-6 months” you may want to rename it as “Nurture” to match Zillow’s.
- Note that if you do decide to rename or merge any stages in FUB, it may impact existing Smartlists, Action Plans, or Automations you currently have in place, so you should make note of what needs to be updated before you change the names.

B) Maintain separate Stages for Zillow and other contacts in Follow Up Boss
If you want to keep the Stages you already have in place for your contacts, you have the ability to do so. However, updating Zillow contacts will be required before enabling Two-Way Integration.
- Add the Zillow Contact Statuses as new Stages to Follow Up Boss.
The stages are:- Lead (syncs with Zillow status "New")
- Attempted Contact
- Spoke with Customer
- Appointment Set
- Met with Customer
- Showing Homes
- Listing Agreement
- Active Listing
- Submitting Offers
- Under Contract
- Closed (Syncs with Zillow Status "Sale Closed")

From there, your team will need to update the stage of all Zillow leads from the last two years (Flex, Market Based Pricing or profile contacts) from the old stage they were in to the new Zillow stage. If this step is not done before you turn on Two-Way Integration, your Zillow stage in Follow Up Boss will be overwritten with the status within Zillow Premier Agent.
To make it easier for team members to identify which contacts need to be updated, you can create a Smartlist and filter by Source -> Includes: Zillow or Zillow Flex.

Check to make sure all agents who exist in routing are in FUB and Zillow Premier Agent
Before turning on Two-Way Integration, check to ensure all of your agents who receive leads are active within FUB and Zillow Premier Agent, and that their names and email addresses match.
Export your contacts from FUB and Zillow Premier Agent
Export contacts from FUB and Zillow Premier Agent before you turn on Two-Way Integration, so you have them as a safety net in case you need to reference them in the future or revert back.
Review FUB Smart Lists, Action Plans, and Automations
Review and update Smart Lists, Action Plans, and Automations to function with Zillow stages (above).
FAQs
- Dependency on Lead Ownership: Updates in FUB only sync back to Zillow if the agent making the update owns the lead or if the team lead has set up the integration properly.
- Property Views and Saved Properties: Does not include syncing of property views or saved properties from Zillow to FUB.
- Selective Data Types: Only specified data types such as leads, status/stage changes, notes, and deals are synced. Two way sync ≠ everything syncs. Review Zillow One Way Sync Overview to learn more about what syncs.

Historical Limit of Data Synced: Leads with a modified date older than 2 years
will not sync during the initial connection. We recommend exporting leads and then importing them into FUB before integration if a team wants these older leads to be included in the sync.
